Lease Documentation Coordinator, Legal Leasing (SMC)

Position Description:

 The Lease Documentation Coordinator is responsible for verification and ultimate distribution of all lease and lease related documents submitted to Macerich for execution by the corporate offices and all outside counsel.  

Essential Job Functions:
•Maintain activity comment records of all fully executed documents received in Yardi until fully executed documents are distributed to all necessary parties.
•Ensure documents are completed accurately, including all required attachments, and making corrections as appropriate prior to delivery to Company’s signatory for documents that are not executed via pdf or DocuSign. 
•Verify receipt of monetary considerations, if required i.e. security deposits and termination fees.
•Act as first line of contact for questions from tenant, Leasing Managers and other departments company-wide with regard to the status and location of execution counterparts of lease documents if unable to be found in Company’s electronic files.
•Ensure deal workflow in Yardi is completed before documents are released to Tenant.  Reach out to Lease Leasing attorney/paralegal to make updates, if needed.
•Prepare all documents for uploading to Content Cloud.
•Setup new guidelines when changes are made to day-to-day operation.
•Send checks to Lockbox when appropriate.
•Other duties as assigned.

Requirements and Qualifications:
•High School diploma or equivalent
•Minimum 1 year Administrative experience in Legal or Real Estate required
•Intermediate knowledge of Microsoft Office including Word, Excel, DocuSignand Outlook
•Intermediate knowledge of general office software such as Power PDF Advanced.
