Assistant Manager, Operations

Position Description:

Under the guidance and supervision of the Operations Manager, the Assistant Manager, Operations assists in the care, preventative maintenance, and long-term preservation of shopping center physical assets.  The Assistant Manager supports operations and maintenance functions of the property and interfaces with other departments at the field level.

Essential Job Functions:

•Under the direction of the Operations Manager, assists in aspects of tenant coordination and shopping center operations. Receives, coordinates and administers communication and activities with contractors and others related to build out of new tenant spaces
•Assists with managing the administration of approved budgets with proactive approach to identify opportunities for improvement performance and cost savings within the centers operations.  Focus on minimizing expenses by efficient use of available work force and materials; ensure compliance to corporate procumbent programs where applicable. 
Assists with creating Capital and CAM annual budgets and execute and complete Capital and CAM budgets and unbudgeted projects.    
•Update and maintain tenant construction files containing punch lists and charge backs. Maintain accurate records of tenant construction files containing points of contact and timelines, dates of receipt, and plan review dates.
•Assist with administering check out procedures and documenting files.
•Assist with supervising Janitorial Service Providers Supervisor and Lead personnel of Porters and Handyman; includes distributing/assigning work orders and follow up on timely completion.  
•Monitor and supervise work to ensure proper techniques are used.
•Recommend disciplinary action and performance of staff to management.
•Inspect and communicate property policies and procedures to tenants to ensure compliance of general aesthetics, standards of the common area, merchant storefronts, trash and recycle programs, mall related physical issues and any special operational problems or activities.
•Conduct regular inspections of all common area facilities/systems and report results to Operations Manager.
•Oversee outsourced service providers in the routine performance of the Landlord's work.  
•Maintain blue print files and construction sample boards.
•Conduct routine property inspections of shopping center common areas, loading docks, service corridors, electric rooms, parking garages, and roof to ensure areas are kept clean, properly illuminated, and signage is current and accurate.
•Assist Tenant Coordination and Business Development with site surveys and/or access to vacant spaces for prospective tenants/architects/contractors.
•Assist with field inspections and tenant construction punch lists, including assisting with Fire Marshal occupancy inspections as required.
•Perform miscellaneous special project duties and office duties such as typing, filing, sorting and clerical support when needed. 
•All other duties as assigned.


Requirements and Qualifications:

•High school diploma or equivalent.
•At least one years’ experience in building operations functions and or construction job site experience. 
•General knowledge of Microsoft office suite including Word, Excel and PowerPoint.
•Ability to lift up to 20 lbs.
•Ability to climb ladders.
•Must be able to read blueprints.
