Operations Manager, Shared Services

Position Description:

The Operations Manager, Shared Services will interface with Property Management and the Tysons Campus Partnerships by providing support, training and guidance required to make sure key, operational programs are developed, implemented and maintained throughout the campus and shared/utilized by all partners.  These programs will address, but not be specifically limited to,  property maintenance, housekeeping and operations, property expense planning and control, CAPEX planning and control, and any other programs or  special projects that impact overall asset preservation and protection that would benefit from efficiencies and economies gained by shared resources and programs. This individual will work closely with Property Management team and National Operations to provide Tyson’s Campus teams with dynamic support, practical problem resolution, guidance and direction on all operational aspects of property management and outstanding facility asset protection. Interaction with Property and Campus Partnerships is primary to ensure programs are effective, working as designed and addressing all relative issues required to maintain the highest standards throughout Property and Campus. Interaction with national and local vendors will also be required to ensure the most efficient, cost effective resources are utilized at all times.

Essential Job Functions:
OPERATIONS – 
•Work with Property and Campus teams to provide leadership and guidance in the development and execution of all operational programs to include property maintenance, national purchasing waste/recycle, energy conservation and any other programs related to property operations and asset protection.
•Ensure all programs reflect specific Campus partner requirements and are implemented in that partners provide all required daily, weekly and monthly supervision/direction with ability to escalate to Manager, Shared Services Operations should programs and/or vendors fall short of requirements and expectations.
•Develop and implement communication platform (24/7) for effective utilization for Property and Campus teams to efficiently perform required inspections and create work orders for in-house and/or vendors to performs.  Coordinate process to ensure uniformity with respect to inspections and work order activity throughout Campus while ensuring Campus partner’s requirements are achieved. 
•Ensure programs to address Property and Campus teams purchasing/procurement requirements are developed and implemented
•Monitor and report on all Campus programs to ensure they are in compliance with contractual requirements as well as required standards of service, as required.
•Work with Property and Campus teams on a consistent basis to ensure that the performance of all vendors involved in property maintenance, housekeeping, landscaping, as well as other key partners, are meeting Campus standards based on pre-established standards, specifications and contractual requirements. 
•Perform regular, designed property inspections to provide consistent verification with Property and Campus partners that expected standards are being maintained on a consistent basis.
•Provide necessary input for the development and ongoing oversight of an Operations Specifications Manual defining all programs and best practices related to Property and Campus.
•Work, as required, with Property and Campus team and to provide necessary input and oversight for preparation on annual budgets related to property operations and maintenance.
•Work closely with VP Sustainability to roll out and coordinate sustainable, energy efficient programs developed for implementation at Property and Campus level; act as single interface between departments and Campus teams. Ensure, wherever possible, Campus partners are operating their facilities in the most acceptable, cost effective manner.
•Provide leadership and support to Property and Campus teams in setting operational standards and specific policies and procedures.  Work closely with National Operations to develop programs and best practices on a Property and Campus wide basis to enhance and improve overall operating performance.
•Monitor monthly financial statements for Property and Campus teams; work with teams on areas where financial goals are not being achieved.
•Support Campus teams, and act as liaison, to establish good working relationships with Security, Risk Management and Environmental departments to develop and implement required plans and procedures. Interface, as required, with Campus teams and Security to ensure the most effective, efficient guard programs are developed to best address campus requirements.
•Act as guide and mentor to Campus teams, as required, to coach and instruct partners on programs and processes that could provide additional benefits relative to program efficiencies and costs. 
•Participate in development and execution of regularly scheduled meetings with Campus partners to officially review their respective properties and programs to ensure they are operating as designed and addressing all Campus needs and requirements.

FINANCIAL MANAGEMENT -
•Work closely with Asset Management team to develop and track all expenses and financial requirements relative to Campus programs.
•Implement programs to ensure a process is in place to review and approve expenses in an efficient manner that ensure the most cost effective process or solution is utilized; act as liaison to Campus teams to ensure understanding and compliance.

CAPEX -
•Work closely with Campus teams to understand and plan CapEx related to maintenance and upgrade of plant, facilities and grounds.  Partner with Campus teams to ensure implementation of projects follows Macerich approved programs and standards.
•Work with Campus teams to develop and update 5 year CAPEX plans related to property requirements related to roofs, parking lots, and mechanical equipment.
•Develop and implement a thorough and concise regularly scheduled building/property inspection process to assist in identifying future CapEx projects and also ensures assets are being properly maintained.
•Partner with Campus teams, as required, on other large or complicated projects requiring input and clarification. 
•Assist Campus teams throughout bidding process, as required, to ensure specifications are correct, vendor selection is appropriate, and scope of work is proper. Develop strong vendor base to utilize effectively throughout RFB and selection process; update to reflect highest quality of vendors to participate in program.
•Teach and train Campus teams, as required, on proper process and procedure to correctly address and implement a CAPEX plan that accurately represents the partners need and adequately maintains and protects asset.
 
CONSTRUCTION -
•Act as liaison with Campus teams with respect to any construction requirements to ensure proper notification, partnerships and approvals are received. Interface, as required, with Macerich teams that would need to become partners throughout planning, approval and construction process.
Requirements and Qualifications:
•Ability to manage a team of vendors to achieve set expectations and goals.  
•Excellent communication skills (written and verbal) with ability to interact with all levels of the organizations.
•In depth knowledge of property operations, construction and development related areas; minimum of 10 years’ experience in related field and similar responsibilities..
•Proficient in Microsoft Office suite, Oracle and Yardi software systems, and operation systems.
•Ability to work a flexible schedule including nights and weekends.
•Prior experience in Parking System and Storage Management.
•Prior vertical transportation and refuse management preferred.
